Rental Policies - Carillon Beach Rentals Please keep in mind that all of our rentals are individually owned, and Carillon Beach Rentals acts as an agent for each homeowner. Our rental terms and conditions are designed to ensure that you, our guest, have the most enjoyable vacation experience possible while protecting the homeowner’s property. We ask that you show the same respect to the property of the owner that you would like to have if YOU owned the property or home. All of our rentals have color televisions with basic cable, VCR or DVD, free local phone service, microwave, dishwasher, and a refrigerator. All except the Carillon Beach Inn have a washer/dryer. Each unit is furnished with linens and towels. We ask that you bring your own beach towels for use at the pools and the beach, as our linens are not for use in these areas. An initial complimentary supply of toilet tissue, paper towels, soap and dishwashing detergent will be provided for your convenience. Additional supplies are available for purchase at Winn-Dixie or Publix across from the entrance. Maid/cleaning service is only provided upon your departure. Arrangements can be made for service during your stay on an individual basis at an additional charge. Guests staying in most units at the Carillon Beach Inn do have daily cleaning service and towel exchange. All rates are subject to state and local taxes. Please see “Rental Cost, Rates and Fees.” 1) Arrival/Departure: Check-in: AFTER 4:00 pm Central Time – Earlier check-in should not be anticipated. No Exceptions. Check-out: BEFORE 10:00 am Central Time 2) Late Arrivals: Our office hours are 9:00 am until 5:00 pm (Fall thru Spring) and until 6:00 pm from Memorial Day until Labor Day Central Time. If you will be arriving after hours, please contact us at least one day in advance so that we may make arrangements for you. 3) Payment: We gladly accept cash, VISA, MasterCard, American Express, or Discover for payment of your account. If you would like to pay your balance by check, it must BE RECEIVED at least 30 days prior to your arrival. Full payment is due at time of arrival or, for late arrivals, the following morning. 4) Prepayment: We require a prepayment of up to 50% of the total amount due which includes a non-refundable administrative fee plus applicable taxes. The prepayment will be applied to the rent upon arrival. It is not a security/damage deposit that is outlined below. We offer optional trip insurance that may protect your investment. 5) Rental Cost, Rates and Fees: All reservations are subject to rent, a $50 administrative fee and appropriate taxes. The standard cleaning fee varies by property and is not a waiver of our right to charge for additional cleaning caused by neglect or misuse of a property. Guests staying in most units at the Carillon Beach Inn are not charged a separate cleaning fee. Monthly rates are based on a two-month minimum. 6) Security/Damage Deposit: Upon your arrival, we will collect a security/damage deposit that will be refunded to you within 14 business days after your departure provided: • There is no damage to the property or its contents • No items are missing from the property • All keys are returned to us upon check-out • The number of guests does not exceed the maximum capacity for the property • There have been no pets on the property and no smoking within the property • The property is left in a generally neat condition. Once the deposit is released, it will be credited back to the name on the reservation in the same form as you paid, except if you paid in cash, it will be refunded by check. The security deposit is not a waiver of our rights to charge for damages in excess of the amount of the deposit. 7) Cancellations: If you must cancel your reservation, please contact us at least 30 days in advance (60 days for monthly rentals). Cancellations less than 30 days in advance will forfeit their entire Prepayment amount. Please note that reservations made less than 30 days prior to arrival will immediately be subject to this non-refundability. Cancellations may be permitted if the National Hurricane Center or other qualified authority has issued a mandatory evacuation for our specific area. Cancellations are not permitted due to inclement weather, warnings, or evacuation orders issued for other areas. 8) Trip Insurance: We now offer trip insurance that can possibly help you recover part or all of your payments should you have to cancel your trip. Our reservationists are not experts on the coverage, so please contact our insurance company at (888) 409-7749 for details - refer to plan 008085. It will be offered as part of your confirmation and must be purchased at least 30 days prior to arrival or upon final payment, whichever occurs first. Once purchased, it cannot be canceled. 9) Reservations Changes: Any changes to a reservation must be made at least 30 days in advance (45 days for monthly rentals). This includes change of dates or change of property and is subject to availability. If you would like to extend your stay, you may do so at any time subject to availability and policies for that specific property. 10) Occupancy: Each property is limited to a specific number of people that it will accommodate by the number of beds in that property and in accordance with state law. The only exception to this is an infant or small child that is able to sleep in a crib or “Pack-n-Play.” Exceeding the maximum occupancy will result in the termination of your rental with no refund and forfeiture of your deposit. 11) Pets: All of our rental properties are designated NO PETS and this policy will be strictly enforced. Pets in your rental unit or on the property will result in the termination of your rental and forfeiture of your prepaid rent and deposit. It is also against local law to have pets on the beach. The Bay County Sheriff’s Department regularly patrols the beach and will fine you $500 per occurrence with no warning. 12) Smoking: All of our rentals are designated NO SMOKING. Smoking inside units will result in termination of your rental and forfeiture of your deposit. If you smoke outside, please use an ashtray and discard the remains. 13) Age Restrictions: No reservations will be made for anyone under the age of 25 unless accompanied by an adult parent or guardian. The reservation must be made in the adult’s name and this adult must physically occupy the unit for the entire rental period. Any reservations made under false pretenses or misrepresentation will be subject to termination of rental, forfeiture of deposit, and could involve the authorities. 14) Noise Restrictions: There are county ordinances against excessive noise and could result in termination of your rental with no refund, forfeiture of your deposit, and could involve the authorities. 15) Parties, Functions, or Weddings: No parties, functions or weddings are allowed in any of our rental properties. Guests are not permitted to have receptions, rehearsal dinners, brunches, bachelor parties, or anything similar. If a party or function is taking place, you will be asked and required to end it immediately; failure to do so could result in termination of your rental, forfeiture of your deposit, and could involve the authorities. If you would like information regarding venues at which you may have a party, function or wedding, please contact our Reservations Office at (866) 832-7070 and we will direct you to the proper place. There are over a dozen different venues offered in Carillon Beach. 16) Beach Access and Beach Chair Service: Between Carillon Beach and Pinnacle Port, we have over one mile of beach for your enjoyment. There are 8 neighborhood dune walkovers along Beachside Drive for your access to the beach if you are staying in Carillon, and virtually unlimited access if staying at Pinnacle Port. Please do not walk on the dunes or attempt to get to the beach other than on a designated walkover. Many houses directly on the beach have their own private walkovers that are dedicated to that specific house. Please observe the posted Flag Warning System and use caution when swimming in the Gulf. No lifeguards are on duty. Some homes provide complimentary beach chair and umbrella service during the summer which includes one double lounge with two cushions and an umbrella. If your home provides this service, your lounge will be found in front of the house (if beachfront) or near the closest dune walkover; the house name will be on the back of the lounge. If your home does not provide this service, you can arrange to rent chairs and umbrellas from Ed’s Beach Service by calling the beach attendant at (850) 623-0344. 17) Pools: There are three pools in Carillon Beach and two in Pinnacle Port for your enjoyment. Please use the pools in the resort where you are staying. In Carillon, the West Pool has a children’s wading pool and is adjacent to the play area, basketball goal and tennis courts. The Resort Pool near the tall Sunrise/Sunset condominiums is not a part of the Carillon HOA and is only available to guests of the Sunrise/Sunset condominiums and Carillon Beach Inn. Please observe the hours and rules posted at the pool area. No lifeguard is on duty and parents are required to supervise their children. Glass is prohibited on pool decks. Chairs are available at each pool for your use. Please bring your own beach towels, as the towels provided in your property are not for use at the pools or beach. Small children are required to wear swim diapers. 18) Outdoor grills: If your home has a grill, please feel free to use it, however please do not move it onto balconies or porches and please exercise the same care and caution when grilling that you would in your own home. Please do not put charcoal in gas grills (happens every year!) If a home offers a gas or charcoal grill and you would like to use it, please understand that you are responsible for purchasing propane or charcoal at your own expense. The closest source of propane is Home Helpers Ace Hardware about 4 miles east on Back Beach Road. 19) Construction: As you look forward to your vacation with us, we would like to remind you of the amount of construction activity taking place in our growing area. A construction schedule has been established for all builders. We will make every effort to let you know about the amount of construction activity that you should expect during your stay, however we do not know exactly when new constructions will start or how long to expect it to take place on any one house. This includes periodic painting and repair. There will be no refunds or discounts given due to the status of construction near your property. Any guest who chooses to change houses due to construction will forfeit their Prepayment. Please feel free to contact us with any questions concerning the stage of construction around your accommodation. 20) Community Association Rules: As a guest of Carillon Beach, Pinnacle Port, or one of our other communities, you must agree to abide by the rules and regulations in effect at the time of your visit. These rules include the use of dedicated easements to the beach, use of the pools and other facilities, operation of golf carts, and other rules. Please observe and obey all the neighborhood speed limits. 21) Trailers/Jet Skis/Boats/Motorcycles/RVs: Trailers are not allowed in Carillon Beach unless parked in an enclosed garage. Not all properties have garages and not all garages can fit a trailer. If you are planning on bringing a trailer, you must verify in advance that the specific property will accommodate your trailer. Carillon Beach Rentals will not be held liable for a guest not being able to properly house a trailer. Jet Skis and boats are not allowed to be parked anywhere in Carillon, even if on a trailer. Pinnacle Port has limited spaces, subject to advance arrangement. Motorcycles are permitted in Carillon Beach, however the trailer used to transport the motorcycle must be housed in an enclosed garage. RVs are not allowed anywhere in Carillon Beach. If you are planning on traveling to the area by RV you would need to find parking accommodations elsewhere in the area. NOTE: The parking lot in Downtown Carillon Beach is NOT available for storing trailers or RVs. 22) Golf Carts: The Carillon Homeowner’s Association requires the registration of all golf carts, whether privately owned or rented. If you plan to bring a golf cart with you, you must register it with the Homeowner’s Office and provide proof of insurance and a driver’s license in advance. If you do not register it and receive a pass, the property patrol will suspend the use of the golf cart until proper registration has been obtained. For further details, please contact the association at (850) 234-7819. Pinnacle Port does not permit golf carts. 23) Lost Key Charge: There will be a $25 charge for one lost key. In the event that you lose both keys to your home, we will deduct $100 from your security/damage deposit to cover re-keying the property. 24) Personal Items Left Behind: We cannot be responsible for lost or misplaced items. However if we are notified immediately of the misplaced items and they are found, we can ship them to you via a third-party firm called Pak Mail. They will pack and ship your items and charge your credit card. 25) Additional Check-Out Information: We hate to see you leave, but when you do, you MUST leave on time! Check-out time is 10:00 am Central Time. Please respect this as we have other guests who are anxious to check in and begin their vacation. Late checkouts will result in additional charges. • Please place all garbage in trash bags and put it in the appropriate containers on you property. You do not need to take the bags or cans to the street. • Please load and start the dishwasher • Please set the air conditioner to 75 degrees or heat to 65 degrees • Please return your keys to the Carillon Beach Rentals office in Downtown Carillon. If you leave before normal business hours, there is a drop slot on the rear door of the office. • Please return any books or movies that you borrowed from us • Please drive safely and return soon! 26) Exceptions: If special arrangements or exceptions have been made for your reservation regarding the policies outlined herein, you must request and receive a written exception approved by Carillon Beach Rentals management. This letter can be sent via email or postal mail and must be presented at check-in time. Agency Disclosure: Carillon Beach Rentals serves as the agent for all owners with properties on our rental program and is acting, at all times, in the best interest of the owners. Every effort has been made for accuracy in all printed material and on our website; however we are not responsible for errors or omissions. Rates, availability, and descriptions are subject to change without notice. Carillon Beach Rentals reserves the right to substitute accommodations when required due to owner changes, removal of a property from our rental program, or mechanical failure.
